What information we collect and why.
The Club collects and holds personal information about members. Where appropriate, this
will include the contact details of the parents or guardians of our youth members. The
personal information held will include name, telephone number, email address, membership
duration, results obtained in competitions, records of work shown in internal and external
competitions. Access to this data is restricted to the executive committee. We collect this
data for managing the members membership of the club

The club will hold Bank account details of the members or other person making payment to
the Club. This is for the purposes managing the members membership of the club and
entries to club events by visitors.

The club will store photographic images (digital & print) and audio-visual (AV) sequences
belonging to members and non-club members entering competitions held by the club. This is
for the purposes of running internal competitions and selection of entries for external
competitions, displays and publicity. This essential for the legitimate interests in operating
the Club. A member may withdraw their consent for their images to be displayed, used for
publicity or entered for competition at any time.

How we protect your personal data
We will not transfer your personal data outside the European Union without your consent.
We have taken appropriate care to protect personal data from loss, misuse, or unauthorised
alteration or destruction.

Please note however that where you are transmitting information to us over the internet we
cannot guarantee it to be 100% secure.

For any payments which we take from you online we will use a recognised online secure
payment system.

We will notify you promptly in the event of any breach of your personal data which might
expose you to serious risk.

We will keep your details confidential, safe and secure at all time, following good practice to
handle and protect your personal information. The security of your data will be a standing
agenda item to be discussed at every committee meeting.

Who else has access to the information you provide us?
We will never sell your personal data. We will not share your personal data with any third
parties without your prior consent (which you are free to withhold) except where required
to do so by law.
We may pass your personal data (limited to your name and town of residence and, where
appropriate, copies of your photographic images (digital & print) and audio-visual (AV)
sequences) to third parties for the purposes of publicizing the club.

How long do we keep your information?
We will hold your personal data on our systems for as long as you are a member of the Club
and for as long afterwards as it is in the Clubs’ legitimate interest to do so. We will review
your personal data to establish whether we are still entitled to process it. If we decide that
we are not entitled to do so, we will stop processing your personal data.
